In registering at the English Language Centre, York you accept the following Terms and Conditions.
Age
- The minimum age on all our Adult English courses is 16 years. There is no maximum age. The age range on our Junior Summer programme is 12 to 15 years.
How to register, make a booking and make payments: EEA, Non Visa Nationals and Visa nationals
- A Letter of Acceptance will be sent to you via email or post, when we have accepted your booking.
- The Registration fee is £100. This consists of an Enrolment Fee of £50 and a Deposit of £50 which will be credited towards the cost of the tuition fees. The Registration fee is non-refundable.
- Students are required to pay the invoice in full one month (30 days) in advance of the start of the course where applicable or provide a Financial Scholarship Letter. On receipt of payment or a Financial Scholarship Letter a CAS will be issued.
Accommodation
- If you require accommodation you must pay an Accommodation Placement Fee of £50 which is non-refundable. Accommodation details are sent via email or post and will only be issued when we have received the Accommodation Placement Fee. We can also send letters by special courier delivery service (DHL) at extra cost.
Invoice
- You will be sent an Invoice when we have received your Registration fee (£100) and your Accommodation fee (£50) if applicable.
Payment
- The balance of your fees must be paid one month (30 days) before the start of your course. If you are making a booking less than 30 days before the start of your course, you must pay the full fees at the time of booking.
- Any outstanding fees at the start of the course must be paid in full by the end of the first day of study at the school.
- For Visa Nationals only there is an additional non-refundable payment of £10 for each CAS – ( Confirmation of Acceptance for Studies ). This fee is non-refundable.
- All Fees are payable in pounds sterling and payment can be made as follows :
- By bank transfer directly to our account. Please note that all bank charges must be paid by you, otherwise you will be charged for this on arrival. Please fax, post or send a scanned copy of the remittance advice. Please ensure that your name is on the remittance advice, to ensure that we credit the transaction to you.
- By Sterling Cheque made out to the English Language Centre, York
- By Credit Card either in person at the school or by telephone prior to arrival. The Registration Fee of £100 can be made by email using PayPal.
- If you are a Sponsored Scholarship student, you must bring a copy of your Sponsorship letter to the school on your first day. Without this letter you may not be allowed to start your course.
Refunds and cancellations
- We strongly recommend that you take out insurance to cover fees and all costs in case of cancellation or leaving early. Student Insurance Policies will generally refund fees if you have to go home early for a medical or other serious reason.
- The Registration Fee, the Accommodation Placement Fee and the CAS Fee for Visa nationals are non-refundable under any circumstances.
- All weeks are charged at a full week rate which includes tuition for a full week.
- Non-arrivals have no claim to a place after one week from the expected date unless the ELC has been notified in writing.
- Visa Nationals – If you have registered and have to cancel your course because you have had your visa application refused you will need to send documentary evidence from the relevant embassy before any refund can be considered, and must also return your Visa Letter issued by the ELC. Once we have received all the pages of the visa refusal letter including the last page with the signature of the ECO, the date and the reason for the refusal and the original copy of the Visa Letter issued by the ELC in support of the application, we will refund all fees paid except the Registration Fee, the Accommodation Placement Fee and the CAS Fee and minus any related bank charges.
- If you have booked and paid through an agent the refund will be made to that agent.
Cancellation
- Provided written notice of cancellation is received more than 4 weeks before the start of the course, all paid fees will be refunded.
- If written notice of cancellation is received 2 – 4 weeks before the start of the course, the ELC will refund all paid fees minus one weeks’ tuition.
- If written notice of cancellation is received less than 2 weeks before the start of the course, the ELC will refund all paid fees minus 2 weeks’ tuition.
- Any refund excludes the non-refundable fees (see 15 above)
- No refund of tuition fees will be made if a student withdraws before the end of the course.
- No refund can be made for classes not attended for whatever reason : students registering for a course at the ELC undertake to attend classes regularly and punctually.
- Periods of absence due to accident or sickness are non-refundable. You are strongly advised to take out Insurance.
Holidays and Extensions
- If you wish to take a holiday you must give 30 day’s notice in writing to Reception. No refund can be given for holiday periods but you can extend your course. Your holiday period must consist of whole weeks and must not normally exceed 2 weeks.
- If as a result of taking a holiday your course is extended into the Summer Season you will have to pay a Summer Supplement (see our current Dates and Fees)
- If as a result of taking a holiday your course extends into the next year, you will have to pay the fees of the new year.
- If you wish to extend your course you may do so, provided there is a place available. Extensions must be paid in full before a place can be reserved. Please note that it may not be possible to stay with the same Homestay or in the School Residence – Cornmill Lodge.
Future Courses
- If you return to the school for another course at any time in the future you will not be charged a Registration Fee.
Accommodation arranged through the school
- All accommodation is arranged for students only for the period they are studying at the school.
- If you leave school early for any reason you will be asked to leave your accommodation.
- Accommodation is subject to availability and early booking is necessary.
- If you decide to leave your accommodation early you must give one week’s notice ( 7 days) in writing for your Homestay and 28 days notice in writing for the Student Residence - Cornmill Lodge
- Any refunds of accommodation fees will only be made for full calendar weeks.
Homestay
- The school’s accommodation service acts as an agent in introducing students to a homestay host. The contract is between you, the student and your host.
- Homestay accommodation is booked from the day before your course starts to the day after it ends. If you want to arrive earlier or leave later, we will try to arrange this but we may have to offer you an alternative such as another homestay or a hotel or guest house for the extra nights.
- If you want to leave your homestay with less than one week’s notice, you will have to pay a cancellation charge of one week’s homestay payment. If you want to leave your Homestay because you are unhappy there, we will not ask you to pay this as long as we accept that your decision to leave is reasonable.
- The Accommodation Placement Fee is non-refundable whenever you cancel.
- The Accommodation Placement Fee covers one free change of homestay only during the period of your course. If you want to change your homestay again there is an additional Selection Fee of £15. If however, there is a valid reason for the change then there will be no charge. In this case the decision to charge the Selection Fee of £15 rests solely with the Student Support Manager.
- All accommodation fees not already paid in full must be paid monthly, at least a month in advance of each month. If payment is not made you will not be allowed to remain in your homestay.
- We strongly recommend that you reserve your accommodation for the entire period of your course. If you reserve accommodation for a shorter period than your course we cannot guarantee that we will be able to extend it for you.
- You are liable to pay for any damage that you cause at your accommodation.
Student Residence – Cornmill Lodge
- The Student residence is only available to students age 20 and over.
- This accommodation is only available in complete weeks.
- You will be asked to sign an accommodation contract before you occupy your room at the Residence, and to abide by the terms and conditions of the contract.
- Students in Cornmill Lodge will be asked for their credit card details with their booking. This is to cover the cost of any breakages or other damage to the property up to a maximum of £200.
- If you take a holiday during your stay you will still be charged the full rate for your period of absence.
- Payments must be made to the school. For periods of 4 weeks or less all payments must be made at the time of booking. For periods of 5 weeks or more payment for the first 4 weeks must be made at the time of booking. No accommodation at Cornmill Lodge will be considered booked until payment has been received.
- Check-in to Cornmill Lodge is on Saturdays only between 12.00 and 17.00. There is an additional charge for check-in outside these times. Please note we cannot check students in after 20.00 under any circumstances.
It is possible that a situation may arise which is not covered by these Terms and Conditions. In this case, the Directors and Management of the ELC reserve the right to take any reasonable steps that may be considered appropriate. We reserve the right to make changes to our Terms and Conditions of Enrolment without notice.
